Load-in is the deadline, not the morning of the show after a problem. The event venue workflow holds the vendor file. This note is the clock and the forms.
Setup and teardown dates
The policy dates on the certificate have to cover setup, the event, and teardown. A policy that expires at midnight before load-out is not current for the whole job, even if the holder name is perfect. Put those dates on the vendor file next to the expiration the producer entered.
The venue as an additional insured
Venues often need to be scheduled as an additional insured, which is what CG 20 26 is for: a designated person or organization. The certificate holder line can name the venue and still not be that endorsement. CG 20 26 does not replace CG 20 10 or CG 20 37 if the contract also names those forms. Match the legal name, not the room's nickname.
Liquor when the event serves it
If alcohol will be served, the liquor liability additional insured endorsement is a separate page. CG 34 01 is the label venues use for that job. General liability limits do not fill it. If the event is dry, do not invent a liquor gap. If a caterer holds the liquor policy, the requirement sits on that vendor.
What the reviewer confirms before the truck
The reviewer confirms the dates, the venue endorsement, and liquor if it is required. An unreadable upload is an error, so load-in does not proceed on a guess. The free workspace covers 10 vendors. The free COI checker can show one certificate and does not clear the vendor to work.
